Task guide

Record a partial customer payment

Record a payment that settles part of an open document and check the remaining balance.

Quoted control names match Riel’s Spanish interface.

Before you start

  • The customer needs an open document with an outstanding balance. Identify the customer, document, currency and money received.
  • Have the date and payment method ready and, when cash management is active, an incoming account compatible with the currency and date.
  • This guide’s simple case uses a payment and allocation smaller than the document balance, with no withholdings.

Step by step

  1. Find the customer and balance

Open the customer in “Clientes”, review their account and select “Registrar cobro”. You can also locate the customer from “Cobranzas”. Check which document you are collecting and how much remains open.

  2. Enter the partial payment

Under “Aplicación a documentos abiertos”, check “Aplicar saldo abierto” beside the document and change “Importe aplicado” to the partial amount. Review “Fecha de cobranza”. If the payment method is missing, choose it under “Agregar medio de pago” and enter the money received; select “Cuenta de destino” where required.

  3. Review before confirming

Select “Revisar cobranza”. Under “Confirmá la cobranza”, check the customer, document, opening balance, allocation and resulting balance. Also check the money received and account. This screen has not recorded the payment yet; use “Volver a editar” to correct it.

  4. Record and verify

Select “Confirmar y registrar”. Check the recorded-payment confirmation and receipt. Return to the same customer’s account and check the saved movement and updated outstanding balance.

For withholdings, several documents or an advance, review the actual composition and allocation. Do not apply this guide’s simple calculation without checking them.

What to check when you finish

  • The payment is recorded against the correct customer, date and document.
  • The allocation matches the payment you intended to record. In this simple case, the previous balance minus the allocation equals the remaining balance.
  • Check the balance after saving; the earlier review is not evidence of a recorded result.
